SACNAS National Conference Cancellation/Withdraw Policy
Please review all sections (A-E) that apply to your conference registration, exhibit booth rental, and/or membership.
Section A: All Conference Participants (applies to all participants, except travel scholarship recipients and exhibitors)
CONFERENCE REGISTRATION:
Cancellations of conference registrations can be made, by the cancellation deadlines, either:
- through MySACNAS, by selecting the “cancel” link
- by sending notification in writing of desire to cancel registration. Written notifications are accepted via email, mail, or fax. Requests submitted via voice-mail message are not valid nor accepted.
All cancellations must be submitted through MySACNAS or received via email, mail, or fax to SACNAS by the registration deadline dates as follows:
- On or Before September 15, 2008: Cancellations received on or before this date will be assessed a $60.00 cancellation processing fee; this fee will be applied to your order. SACNAS will refund the full amount of your registration payment minus the $60.00 processing fee.
- After September 15, 2008: Cancellations received after this date will be assessed the full registration cost. No refund will be issued.
NOTE: Undergraduate and Graduate Students: Student registrants who do not pay for registration and/or membership dues at the time of online preregistration MUST submit full payment by the preregistration deadline (September 15, 2008). Failure to pay registration and/or membership dues by the preregistration deadline will result in the automatic cancellation of your registration by SACNAS.
Section B: SACNAS Travel Scholarship Conference Participants (applicable to all recipients of SACNAS travel scholarships including students, postdocs, junior faculty, etc.)
CONFERENCE REGISTRATION:
Cancellations of conference registrations can be made, by the cancellation deadlines, either:
- through MySACNAS, by selecting the “cancel” link
- by sending notification in writing of desire to cancel registration. Written notifications are accepted via email, mail, or fax. Requests submitted via voice-mail message are not valid nor accepted.
All cancellations must be submitted through MySACNAS or received via email, mail, or fax to SACNAS by the registration deadline dates as follows:
- Prior to Submission of Travel Scholarship Contract: Cancellations received before you have completed and submitted your SACNAS Travel Scholarship Contract will be assessed a $60.00 cancellation processing fee; this fee will be applied to your order. SACNAS will refund the full amount of your registration payment minus the $60.00 processing fee. Important Note: Withdrawal of a travel scholarship application through the MySACNAS account is not the same as national conference registration cancellation; withdrawing your travel scholarship application online DOES NOT automatically cancel your conference registration.
- After Submission of Travel Scholarship Contract: No refunds are issued on cancellations after the travel scholarship award contract has been submitted. Cancellations received after the contract has been submitted will be assessed the full registration cost.Important Note: Once a travel scholarship is awarded and the travel scholarship contract submitted, travel scholarship recipients failing to attend the conference for any reason: 1) are financially responsible for any and all fees incurred on their behalf (e.g., travel and/or lodging fees). These expenses are reimbursable to SACNAS and are billed directly to the travel scholarship recipient’s SACNAS account. 2) Ineligible for award of travel scholarships in the future.
Section C: Exhibitor Participants (applies to all participants who register to attend as exhibitors)
CONFERENCE REGISTRATION of EXHIBITOR ATTENDEES:
Cancellations of conference registrations can be made, by the cancellation deadlines, either:
- through MySACNAS, by selecting the “cancel” link
- by sending notification in writing of desire to cancel registration. Written notifications are accepted via email, mail, or fax. Requests submitted via voice-mail message are not valid nor accepted.
All cancellations must be submitted through MySACNAS or received via email, mail, or fax to SACNAS by the registration deadline dates as follows:
- On or Before September 15, 2008: Cancellations received on or before this date will be assessed a $60.00 cancellation processing fee; this fee will be applied to your order. SACNAS will refund the full amount of your registration payment minus the $60.00 processing fee.
- After September 15, 2008: Cancellations received after this date will be assessed the full registration cost. No refund will be issued.
PREPAID EXHIBITOR REGISTRATIONS:
No refund will be issued on any exhibitor registrations that are prepaid but unused during the conference. (See Section D for additional information on exhibit booth reservation cancellations.)
Section D: Exhibit BOOTH Reservations (applicable to all booths reserved by booth contacts and/or exhibitor attendees)
RESERVATIONS of EXHIBIT BOOTHS:
Cancellations of exhibit booth reservations can be made, by the cancellation deadlines, only:
- by sending notification in writing of desire to cancel reservation. Written notifications are accepted via email, mail, or fax. Requests submitted via voice-mail message are not valid nor accepted. Booth reservation cancellations may not be completed through the MySACNAS system online.
All cancellations must be received via email, mail, or fax to SACNAS by the booth reservation deadline dates as follows:
- On or Before August 15, 2008: Booth cancellations received on or before this date will be assessed a $500.00 booth cancellation processing fee; this fee will be applied to your booth order. SACNAS will refund the full amount of your booth reservation payment minus the $500.00 processing fee.
- After August 15, 2008: Cancellations received after this date will be assessed the full booth reservation cost. No refund will be issued.
PREPAID EXHIBITOR REGISTRATIONS:
No refund will be issued on any exhibitor registrations that are prepaid but unused during the conference. (See Section C for additional information on exhibitor registration cancellations.)
Section E: Membership (applicable to all SACNAS membership categories)
SACNAS MEMBERSHIP:
Membership dues are non-refundable.
